Provide diversified and administrative support function including, but not limited to:

· Answer, screen and direct telephone calls; take messages, provide information with discretion or redirect calls.

· Schedule and maintain calendars for appointments, meetings, personnel’s vacations.

· Data entry, scanning, photocopying, filings, etc.

· Maintain, update company social media efforts, monitor website updates.

· Participate, organize, solicit and assist on projects bidding, pre-construction, construction and closeout phases, including, but not limited to: subcontractor and vendor bid solicitations, research vendors, maintain bid invitation system, bid tracking organizing and filing, coordinate distribution of documents, plans and specifications, prepare and submit bids to prospective clients.

· Provide the necessary and required assistance in project construction activities, including, but not limited to: prepare, maintain data in the project management system, issue and follow up on subcontracts, purchase orders, insurance requirements, filing, communications, meeting minutes, collect and prepare closeout documentation, manuals, etc.

· Create client weekly status reports for projects, with photos and updated schedules.

· Job costing-track all project expenses including the change order process with both subcontractors, owners and design consultants.

· Account Receivables including, but not limited to preparing project monthly invoices, sending and following up with Client and Owners on payment status.

· Account Payable including, but not limited to sub-contractors invoices entered in accounting systems, cutting checks, lien waiver tracking, insurance tracking.

· Perform other duties as assigned, assist with overflow work as necessary.

· Proficient in Microsoft Excel, and Word with strong computing skills

· Skills in time management, organization, problem solving, and judgement

· Keen attention to detail and accuracy

· Ability to handle multiple projects simultaneously

· Strong written and verbal communication skills

· Ability to work overtime on occasions to meet project deadlines

· Qualified candidates must possess 2-3 years of administrative experience

· Experience in reviewing documents with a keen eye, reviewing & coding invoices, and familiarity with accounting terms.

Required Education:

· High school or equivalent

· Previous construction administrative experience a plus but not required
