Lee & Associates Toronto is seeking a multi-talented Marketing, Media and Communications Coordinator to lead its progressive marketing, communications, and public relations initiatives. This role will be responsible for increasing the company’s visibility by managing the brand image, designing marketing and promotion materials including creating custom materials that communicate the firm’s message in an engaging, progressive and vibrant way. Our coordinator will also contribute to the ongoing development of company websites, video content, social media accounts and content, organize meetings and presentations, and interact with internal and external clients to effectively deliver our company’s message. The ideal candidate is innovative, assertive, detail-oriented, adaptable, and extremely organized. They must be comfortable working in an extremely fast-paced and deadline driven environment where both confidentiality and professionalism are paramount. Prior experience or strong understanding and knowledge of commercial real estate industry is required.

Duties & Responsibilities:

  • Coordinate and perform a range of specialized and administrative marketing and communication duties
  • Establish and manage weekly, monthly and quarterly marketing calendars,
  • Support Sales team members in the implementation, planning and supervision of marketing and sales strategies, including proposals, presentations, correspondence, and standard reports
  • Create and manage electronic and direct marketing campaigns for sale or lease of properties to include customized property information materials, comparable market analyses, market and industry research and targeted mailing lists
  • Manage, design, and write custom marketing materials and content for both print and web including the company website(s), including blogs, brochures, flyers, sell sheets, post cards, newsletters, announcements, pitches, signage, marketing boards, and e-blasts
  • Organize the preparation and production of customized, client specific property information packages in response to Requests for Information (RFIs) and Requests for Proposals (RFPs)
  • Maintain and update marketing library and infrastructure to include SharePoint, database system(s), intranet and external websites
  • Oversee the use of logos and other marketing assets to ensure the corporate identity’s consistency throughout all services lines, properties, projects, proposals and presentations
  • Create and coordinates copy writing, design, and layout and ensuring that all marketing materials comply with the specifications established on marketing plans
  • Coordinate the production and distribution of advertising material
  • Prepare detailed reports on sales volume, customer experience, market trends, and client requirements
  • Prepare monthly, quarterly, and yearly reports on every marketing activity and its results
  • Monitor competitors’ marketing activities to measure their impact
  • Establish marketing deadlines and budgets accordingly
  • Determine ways to track and measure the success and return on investment of marketing strategies, such as key performance indicators (KPIs)
  • Develop, implement and manage client and corporate communications strategies
  • Assess and report on the effectiveness of communication strategies.
  • Develop and coordinate public relations (PR) strategy and related campaigns and activities
  • Review or write press releases as well as prepare media kits
  • Assist to clarify the Company’s point of view to its main audience through media releases and interviews; and writing concise stories for press outreach in a variety of formats
  • Write content, monitor and analyze the company’s social media and online presence, including LinkedIn, Twitter, Instagram, Facebook and others
  • Organize, coordinate, and oversee meetings, press conferences, promotional events and client entertainment
  • Create a video marketing strategy and individual project plan(s) as needed that aligns with Company’s content marketing goals, including property videos and content for social media
  • Coordinate and /or produce all drone and aerial video content for YouTube, Vimeo, and other video platforms, while optimizing videos for search engines using keyword-enriched descriptions and tags
  • Coordinate the production (shooting, editing, uploading, adding effects) of promotional video content for use in selling service lines and property listings
  • Coordinate, create and leverage interviews, testimonials, demos, and other storytelling styles in video format to strengthen client connections, engagement levels, and marketing initiatives
  • Create and design custom maps, and info graphics for print and social media
  • Collaborate with research and brokers to determine layout design and presentation of content
  • Work closely with sales and operations team to build healthy culture and great place to work
  • Ad-hoc special projects and other administrative duties as required
  • Serve as point of contact for media and public inquiries

  • Professionalism and the ability to represent the Company well to clients and industry professionals
  • Ability to provide materials in a timely, organized, and correct manner
  • Strong understanding of design principles for print and web deliveries
  • Create and maintain a network of vendors
  • High level multi-tasker with ability to solve problems in standard situations
  • Intermediate analytical and quantitative skills

Preferred Qualifications:

  • Bachelor’s degree or diploma in Marketing, Communications, Public Relations, Journalism, Graphic Design or related field
  • 2 – 5 years of experience working in a marketing, communications, or graphic design position
  • Experienced in creating and implementing marketing plan(s), and multiple types of marketing strategies/campaigns
  • Experience working with Adobe Creative Cloud (including InDesign,Photoshop, After Effects applications), Microsoft Office 365 applications (including SharePoint, OneNote, Teams)
  • Must have strong working knowledge of Constant Contact or other email marketing software
  • Advanced proficiency in WordPress, website design and html code
  • Ability to perform duties with a high level of confidentiality and discretion and can be trusted with sensitive information
