Job Description:

The Client Services Associate role will work closely with our brokers and provide them with client services and marketing support for our office team. This individual will be responsible for providing brokers with ongoing support, coordination, tracking, and management regarding all real estate transaction activities and will serve as liaisons between brokers and third parties, such as title companies and surveyors. The ideal candidate is a multitasker, hardworking, organized, highly motivated and possesses the skills to provide administrative and marketing support to our team.

Responsibilities:

The essential duties and responsibilities of this position may include, but are not limited to, the following:

  • Preparing proposals, contracts, leases, commission agreements, NDAs, and LOIs for our office brokers
  • Manage office transactions according to critical dates and timelines
  • Generate and process comps and invoices for each deal and monitor status of payments
  • Coordinate with brokers, clients, title companies, surveyors, etc. to meet specified deadlines
  • Provide administrative support to brokers including, but not limited to, copying, mailing, filing, scanning, and faxing documents
  • Manage property availabilities/listings through multiple commercial real estate listing websites such as CoStar and LoopNet; and other applications such as VTS
  • Assist in the creation of marketing materials such as tour books, placemats, pitchbooks, etc. and in consistency with our branding guidelines
  • Assist new business development projects by drafting and preparing pitch letters, fact sheets, broker biographies, articles and other marketing material highlighting the company’s strengths in maintaining strong business relationships with clients
  • Responds to market/research requests by brokers effectively and in a timely manner
  • Exercising the strictest judgement and appropriate discretion when handling confidential and sensitive information regarding the company business
  • Collaborating with marketing in the creation of custom designs for property-specific marketing
  • Work closely with the company’s brokers to develop effective market research material, specific to both existing and potential clients
  • Work with other members of the marketing team to ensure deadlines and turnaround times are met, as previously set by the company and our brokers.
  • Perform any other duties as designated by Operations Manager and Managing Principals

Qualifications:

  • Bachelor’s degree preferred
  • Commercial or residential real estate experience required
  • Real estate license preferred but not required
  • Advanced knowledge of Microsoft Office 365
  • Knowledge of Adobe software systems
  • Advanced knowledge of Adobe Creative Cloud software including InDesign and Photoshop
  • Outstanding design skill reflective of strong competency of graphic design principals
  • Ability to work autonomously and effectively cross-manage multiple projects at one time to work collaboratively with the marketing team and brokers to determine the best design strategy and approach given the context of any marketing project
  • Stays in front of design and marketing trends that help to generate brand awareness and position our professionals
  • Organized and resourceful with a proven ability to multi-task and meet strict deadlines
  • Detail oriented with excellent writing and communication skills
  • Encourages and is open to innovative ideas and suggestions
